Choosing, pricing, contracts, checking an agency, filming, packaging, results and switching. Short answers to the questions I hear on calls, each with a link to the full article.

By Evgeny Maximov·14 min read·

I take calls with founders every week, and the same questions come up. Some are about money. Some are about trust. Many are just about not wanting to make a mistake. I collected them here in ten groups, with a short answer to each. For the long version, follow the link.

Prices come from public pages and from our own work, and the linked articles show sources and dates. This is general information, not legal advice. If you only want one page to start from, read done-for-you YouTube.

How do I choose the right kind of help?

Editor, manager, producer, mentor or agency. They solve different problems.

What is a done-for-you YouTube service?

It runs the whole channel for you: strategy, scripts, editing, thumbnails, titles, publishing, Shorts and analytics. You record the videos, usually on one filming day a month, and give quick feedback. Full explanation.

Is done-for-you YouTube the same as YouTube automation?

No. Automation means faceless channels built to earn ad money. A business channel is the opposite: you are on camera, and the goal is trust and clients, not ad revenue.

Should I hire a YouTube mentor or an agency?

Hire a mentor if you have time and want to learn the skill. Hire an agency if your time is expensive and you want the work done. Mentor vs agency has the details.

Can I start with a mentor and move to an agency later?

Yes, and it is a good path. You learn what good content looks like, then hand over the heavy lifting when the business can pay for it. You also become a better client.

Is hiring a video editor enough to run a channel?

Usually not. An editor covers one of the seven jobs behind a video. Strategy, scripts, filming, thumbnails and publishing still stay with you. See how to hire a YouTube editor.

What is the difference between a YouTube producer and an editor?

The editor turns footage into a finished video. The producer decides which videos to make, what goes in them, briefs the editor and judges the result. What a producer does.

Is a channel manager the same as a producer?

No. The producer owns strategy and content. The channel manager owns quality control and publishing. Small channels often have one person doing both. Channel manager guide.

Editor, manager, strategist or agency: how do I decide?

Find your bottleneck first. If you have a plan and footage, you need an editor. If you have no plan, you need a strategist or an agency. The bottleneck test walks through it.

Should my social media manager run YouTube?

Usually not. Someone who already runs LinkedIn, newsletters and reels will burn out, and YouTube has its own rules for packaging and search. Hire a person who understands YouTube, or an agency.

Can a reels maker do long YouTube videos?

Usually not well. Long videos are a different game, and short-form makers often miss packaging. The thumbnail and title matter more than most people think, because they are the first step of the funnel.

What is the difference between an editing service and a YouTube agency?

An editing service turns your footage into videos. An agency also decides what to make, outlines scripts, packages, publishes and tracks results. Six companies compared.

Who is a done-for-you YouTube agency not for?

People who want to become YouTubers, lifestyle bloggers, UGC creators, and people who don't watch YouTube themselves. If your thing is Reels, make Reels.

How much does YouTube help cost?

Prices are from public pages and our own work. Check the linked articles for sources and dates.

How much does YouTube video production cost for a business?

Roughly: a DIY setup from under $500 to about $3,000 plus your time, about $100–250 per long video from a freelance editor, about $3,000–10,000 a month for a done-for-you agency, and about $15,000–25,000 a month in salaries for an in-house team. See the full breakdown.

How much does done-for-you YouTube cost?

Most agencies charge about $3,000–10,000 a month, depending on volume and filming. We start from $3,000 a month, one-off projects from $500.

Why do YouTube agency prices vary so much?

Volume, who films, how much strategy is included, how many platforms and Shorts, and the team's experience. Compare what is included, not only the monthly number.

Do I pay separately for filming?

Often yes. Agencies price their own work first, and the filming day depends on your city, studio and camera operator. If you film yourself on a phone, that part costs much less.

How much does a YouTube editor cost?

A freelancer usually edits one long video for roughly $100–250. As an employee, a US editor earns about $75,000 a year. Details and sources.

Budget freelancers charge about $5–30 per thumbnail, solid ones $30–150, specialists $100–300 or more. Thumbnail designer guide.

How much does a YouTube scriptwriter cost?

Standalone plans started around $1,490 a month in 2026. In our work, SEO is included in the monthly price with strategy, editing and publishing. YouTube SEO services.

What is the cheapest way to start a business channel?

A phone, a $100–200 wireless microphone and a soft light, with one long video a week. The money is small, but the time cost is big, because you do everything alone.

How much does podcast production cost?

Done-for-you B2B podcast services usually start around $3,000 a month. We charge from $500 for pre-production and post-production of a video podcast, with filming priced by location. Video podcast guide.

How do I know if YouTube is worth the cost for my business?

Divide the yearly production cost by your average deal. With a $10,000 offer and $5,000 a month in production, six full-price clients cover the year. If your average deal is very small, the math is harder.

What should be in the contract?

Ownership, access, guarantees and how to leave. This section is general information, not legal advice.

What should a YouTube agency contract include?

A monthly scope by deliverable, free revisions, ownership of files, payment dates, a publishing schedule, licenses, extra costs and an exit clause. 12 clauses to check explains each one.

How long are contracts with YouTube agencies?

Many ask for three months as a minimum and often six to twelve. Editing subscriptions are often month to month. A very short commitment rarely makes sense for strategy work.

Can I cancel a done-for-you service?

It depends on the contract. In ours, you can use the services until the end of the paid period, and unused time is not refunded. New clients also get a 7-day money back guarantee.

Who owns the videos an agency makes?

Only what the contract assigns to you. You should own the raw footage and the edited videos. Ask for it in writing, and have a lawyer read the contract.

Should a YouTube agency promise views?

No. Nobody controls the YouTube algorithm, so a promise of views is a red flag. A good agency guarantees what it controls: process, deadlines and honest analytics.

Do production companies promise results?

Some offer a call guarantee with conditions attached. We don't promise views or calls, because they depend on your offer and market. Our only guarantee is 7 days money back.

Do I need to give my YouTube password to an agency?

No. You add the agency as a manager or editor in YouTube Studio and can remove it in one click. An agency that asks for a login or Gmail is a red flag. See Manager and Editor access.

Can a channel manager delete my channel?

No. Only the owner can delete a channel. A Manager can delete published videos, which is why outside teams usually get the Editor role.

Where does an agency get music and footage?

From licensed libraries. We use Envato Elements, so music and stock footage come with a license. Ask any agency which library it uses and who holds the license.

How many rounds of revisions are normal?

Two or three rounds per video are common. With a new editor, three to five rounds is normal while they learn your style. Our contract includes three sets of free revisions.

How do I check an agency before I sign?

Most agency problems can be seen in the first two calls.

How do I spot a scam YouTube agency?

Look for seven red flags: one lucky video as a case, an owner who sells and a junior who delivers, copy-paste advice, scripts without your stories, view guarantees, one producer on many unrelated channels, and no process after the filming day. The full list.

What should I ask a YouTube agency before hiring?

Who exactly works on my channel and how many channels they run, a whole-channel case over 6 to 12 months, what happens after filming, how they research my niche, how they use AI, what they guarantee, and who checks quality.

How can I check if an agency case study is real?

Ask for the whole channel over 6 to 12 months, not one video. Check whether the channel was already big before the agency, and whether the growth is steady or a single spike.

Is it a red flag if an agency uses AI?

No, if AI is a helper and not the author. AI is fine for research, first drafts and SEO if the agency loads your stories and words into it. If the content has none of your details, that is the red flag.

How many clients should one producer handle?

Few enough to know each business. In our team, one editor works with two or three clients at most, each client has their own producer, and we cap ourselves at eight clients at a time.

What does a good agency process look like?

You talk to one or two people. Someone prepares scripts from your stories, someone organizes filming, editors and a designer work inside the team, and an account manager checks every video before it goes live.

Should I talk to several agencies?

Yes, two or three. Not to compare prices, but to see how differently they think about your niche and your audience.

What if I already lost money on an agency?

Don't write off YouTube. Check what went wrong: no strategy, no consistency, or no path from video to client. Then restart with a team that shows its process and measures calls, not only views.

Why do agencies fail small business owners?

They sell a simple answer for a complex platform. The owner sells, a junior delivers, and one person runs many unrelated channels, so nobody goes deep into your niche.

Want to see how a done-for-you channel works from the inside? The free Business YouTube Playbook shows the system we run for clients. No opt-ins.
Read the Playbook

How does the process work, and how much of my time does it take?

What happens after you say yes.

How does done-for-you YouTube production work?

You give us one filming day a month. A producer plans ideas and writes scripts from your expertise, a line producer organizes the shoot, then editors, a designer and an account manager edit, package, check and publish. You talk to two people at most. Step by step.

How much of my time does an agency need?

About 14 hours a month at most, and most of it is one filming day. The rest is a short strategy call, reading scripts and reviewing final cuts.

What is an anchor script?

A one-page outline with key points and questions for each video, written from your stories. It lets you sound like yourself instead of reading a text word for word.

What roles does a production team need?

Seven in our agency: a producer, a line producer, long-form and short-form editors, a designer, a scriptwriter, an account manager for quality and an assistant. You work with two of them. See the production team.

Why can't one person run a channel?

One long video is seven jobs: script, filming, lighting, speaking, editing, thumbnail and analysis. Doing all of them, or managing freelancers for each, takes more time than most founders have.

How long until a done-for-you channel brings clients?

Plan for a slow first two to three months. Leads from long videos then build over several months as the videos start showing up in search and recommendations.

Why did my channel not work before?

Usually three reasons: no strategy, no consistency, or no funnel, meaning nowhere to send viewers. A fourth is quitting too early. Don't judge a video before it reaches about 1,000 views.

What if I don't like the strategy?

We offer a 7-day money back guarantee. We also work with only eight clients at a time, so each client has their own producer.

What if I don't like the content we make?

That is normal. Change the plan, the format or the contractor. We test around ten formats in the first quarter to find one you enjoy filming, because the same expertise can be delivered in many ways.

Do I need to post on YouTube every day?

No. Business channels don't need daily uploads. Our clients usually publish 1–2 long videos and 2–4 Shorts a week. A long video keeps working for months.

How does filming work?

One day a month, on a phone or in a studio.

What is batch filming?

Recording several videos in one session. We film four long videos in one day, which also gives about 20 Shorts, so you spend one day a month on camera and publish every week. Batch filming guide.

How many videos can you film in one day?

Four long videos of about 15 minutes fit in about three hours with breaks. Each takes 30–45 minutes to record.

What should I prepare before a filming day?

One-page anchor scripts two or three days earlier, two or three outfits, charged batteries, free space on the phone, a short light and sound test, and a backup location.

Do I need a producer on set?

It helps a lot. A producer asks the questions, catches your best line and asks for one more take, so you only think about what you say.

Do I need to be good on camera?

No. Almost nobody is at the beginning. A clear script, a good place and no pressure get most people through. After the third or fourth video most clients stop thinking about the camera. See the first video and camera fear.

Can we film remotely?

Yes. We work with founders in other countries. The director runs a remote shoot on a video call, or we find a local filmmaker near you. One client filmed on a phone in sunlight.

What is the best studio setup for a business channel?

Start with an iPhone, an external wireless microphone and window light. Move to a camera or studio after a few sessions, when you know what you need. Filming setups.

Does an expensive camera get more views?

No. After more than 50 shoots in 2026, I found no direct link between a sharper image and more views. What you say, the editing and the packaging matter much more.

What if I'm afraid of the camera?

Use a podcast format: a host sits in front of you and asks questions, so you talk to a person, not a lens. Filming at events and screen share videos also help.

Who organizes the filming?

We do. We find studios and filmmakers, prepare the scripts and run the session on site or on Zoom. You just show up.

How are scripts, editing and packaging done?

The craft behind a video: what you write, how it is cut and what people click.

Should a business script be written word for word?

Usually not. Reading a full script sounds robotic. An anchor script with key points lets you speak naturally. Word for word makes sense for sales videos and documentaries.

Can AI write my YouTube scripts?

AI can draft a skeleton. It can't add your stories, opinions and real cases, which are what make a business video trustworthy. We use AI only for a first draft of the structure.

Where does a scriptwriter get material for an expert?

From four sources: questions a client would ask in a consultation, timecodes of top videos on the topic, articles and search results, and your own cases and voice notes. See YouTube scriptwriter.

What makes a good thumbnail?

One idea, readable on a phone, little text that doesn't repeat the title, a clear face and emotion, and strong contrast. Keep important things away from the bottom-right corner. Thumbnail tips.

Should I A/B test thumbnails?

Only when the channel has enough views. On a small channel the test doesn't collect enough data. See thumbnail A/B testing.

Can AI make thumbnails?

It helps with ideas, backgrounds and rough layouts. The final thumbnail still needs a designer who knows your niche and keeps your real face and style.

What should I send my editor?

The script, a brand book or style references, raw footage in a shared folder, and any numbers or screenshots from your cases. The editor decides the visuals.

How long does it take to edit a video?

For a long talking-head video, about a week from raw footage to the final version, including review. A first draft of a 20-minute video can come in two days. Editing guide.

Should the founder direct the edit?

No. You say what you like, don't like, want added or removed. The editor chooses music, B-roll and graphics, and the producer reviews the result before you see it.

What ranks a business video on YouTube?

Relevance (title, description and what you say match the search), watch time on that search, and the channel's history on the topic. Say the main phrase out loud in the first 30 seconds. See YouTube SEO for business.

Do Shorts bring clients?

Rarely on their own. Shorts bring reach; clients usually come after they watch long videos. Link each Short to its long video. Shorts for business.

Does YouTube help with AI search?

Yes. YouTube videos are often cited in AI answers, and a video that answers a buyer's question out loud, with a chapter for it, has a better chance to be quoted. AI search and YouTube.

How do I track results?

What to measure, and how long to wait.

How do you measure ROI on YouTube?

Track which videos bring calls and deals with a "where did you find us?" question on your booking form and UTM tags. Compare yearly revenue from those clients with yearly content cost. YouTube ROI tracking.

How do I track leads from YouTube?

Add an optional "where did you find us?" question to the booking form and ask again on the call. If you run several platforms, add UTM parameters with the video name to your links.

Why doesn't YouTube Analytics show my leads?

It tracks behavior on YouTube only. It can't see your website or CRM, and many leads arrive through Google searches, DMs or referrals, so you must ask them.

How long until YouTube shows ROI?

Usually 6–12 months for B2B. The first month costs more than it returns, search traffic tends to start around months four to six, and the compounding effect shows by the end of the first year.

Can a small channel have a high ROI?

Yes. One of our prosthodontist clients got a single patient from YouTube who paid for half a year of production. For high-ticket offers, a few hundred right viewers can be worth more than a viral video.

Do I need attribution software?

Not at the start. With 5–20 calls a month, one form question and a spreadsheet are enough. Attribution tools make sense with ad budgets and several platforms.

Is YouTube better than paid ads?

They behave differently. Ads give fast results that stop when you stop paying. A YouTube library keeps bringing leads for years. We don't run paid ads or manage ad accounts.

What metrics matter most for a business channel?

Retention in the first 30 seconds, average view duration, click-through rate in context, traffic sources, and calls per video tracked outside YouTube. The metrics we check.

How do I know my audience is the right one?

Check the report of other channels your audience watches. Business and industry channels mean buyers. Beginner creator channels mean your packaging attracts the wrong viewers.

How can I tell if views are fake?

Look for very low watch time relative to views, an average view of a few seconds, and traffic from countries that don't match your market. Views vs clients.

Should I buy views to get through the slow start?

No. Fake views confuse the algorithm about who the channel is for. In one case, recommendations dropped to zero after a guest bought about 15,000 views, and we couldn't bring the channel back in six months.

How many videos before YouTube works?

Roughly 20 long videos, about five months at four a month. About one in five becomes a breakthrough, and you can't know which, so rhythm matters. How long it takes. Numbers from outside studies are in business YouTube statistics.

Should I build a team, outsource or switch?

In-house, freelancers, an agency, or a change of agency.

What does an in-house team cost compared with an agency?

As a guide, an in-house team of four costs roughly $15,000–25,000 a month in salaries. An agency costs about $3,000–10,000. Agency vs in-house.

When should I choose an agency instead of building in-house?

Choose an agency if you want one filming day a month and no hiring. Build in-house if you need content every day and can hire a creative lead.

Who should I hire first for content?

Around your bottleneck. A producer or content lead before an editor, and an account manager is a strong first hire for quality.

When is the right time to outsource editing?

When you already have a few sales and editing eats your week. The first thing to buy is your own time. See outsourcing editing as a solo founder.

How do I avoid micromanaging my editor?

Agree on the style before the full edit, then give feedback on a finished draft, not on every second.

How involved does a founder need to be?

Enough to be the content. The team can research, script and edit, but only you can share your expertise and opinions on camera.

Why is stopping a channel worse than stopping ads?

When you stop ads, leads stop that day. When you stop a channel, you lose the snowball, because the library only keeps working if you keep adding to it.

How do I switch YouTube agencies without losing momentum?

Get your files, access and plan before you give notice, and keep the publishing rhythm going. The handover checklist has the steps.
