B2B Email Marketing for Consulting Firms: What to Send, and When

A consulting firm does not need a big email machine. It needs a few kinds of email, sent to people who know you, with one useful idea each. Here is what to send, who to send it to, the legal rules and the numbers you can believe.

Which email best practices should a consulting firm start with?

Start with a useful welcome email, content matched to the reader's interests and one clear next step. These practices are drawn from email-platform guidance and professional-services examples. The sample messages below show how to apply them to consulting.

Real examples to study

  • McKinsey's The Weekend Read shows a curated digest. Study how it selects and introduces insights rather than sending every new article.
  • McKinsey's newsletter selection includes The CEO Shortlist for the C-suite and Monthly Highlights. The lesson is to define the audience and reading promise for each newsletter.
  • Hinge's professional-services guide recommends educational opt-in content such as research and case studies, with a publishing rhythm your team can support.

What should the emails say?

One idea per email. One link. Plain words. A reader who is the owner of a company reads on a phone between meetings, so say the idea in the first two lines. Here are three samples. I wrote them as examples, not as client emails. Change them for your voice.

A newsletter note from a video (about 80 words):

"Subject: Why [type of client] leave after year one
Last week I recorded a video on one reason [type of client] leave after year one: they never see a summary of what we achieved. I now send a one-page summary every quarter. It takes 30 minutes. The video shows the page and the three lines I always put on it. [Image of the video, linked] Reply if you want the template."

A follow-up after a call (about 60 words):

"Subject: Our call, and the next step
Thanks for the time today. You said the main issue is [their problem, in their words]. I recorded a 6-minute video on how we approach it. Here is the link. I'll send the proposal on Thursday. If anything changes before then, just reply."

A first message to a narrow list (about 50 words):

"Subject: Question about your [specific process]
Hi [name], I read your note on [topic]. We help firms like yours with [one specific result]. Does that match a problem you have now? If so, I can send a short video of how it works. If not, no problem."

The brackets are where your facts go. The samples share a pattern: a specific subject line, a fact about the reader, one idea, one clear and small ask.

How often, and how long?

This is my suggestion, not a measured result. A newsletter every one or two weeks, 150 to 250 words, is a pace most people can keep. The best rhythm is the one you can hold for a year. Sales follow-ups and event emails go by their own timing. If you don't have enough to say, say less. A short email that is useful beats a long one that is polite.

How do you build the list, and what are the rules?

Build it from people who asked. Offer something worth an address: a short guide, a checklist, a template. Add the sign-up under every video and article. Ask people who book a call. Collect addresses at events with their permission. Don't buy lists. A bought list hurts deliverability and breaks the rules below.

RuleWhat it says
CAN-SPAM (US)Applies to B2B email too. Honest From and subject lines, a valid postal address, a clear opt-out, and opt-outs honoured within 10 business days. The FTC lists penalties of up to $53,088 per email.
PECR (UK)Company addresses do not need consent, but you must identify yourself and give an opt-out. Sole traders and some partnerships count as individuals: they need consent or the "soft opt-in". If in doubt, treat the person as an individual.
Gmail and Yahoo sender rulesFor senders of 5,000 or more messages a day: SPF, DKIM and DMARC, one-click unsubscribe and a spam rate in Postmaster Tools below 0.30%. Google recommends staying under 0.10%.

What numbers can you believe?

Not many. Opens are unreliable. Apple's Mail Privacy Protection can load the tracking pixel in the background, so an email can count as opened when nobody read it. Mailchimp says so on its own benchmark page. In its December 2023 data, the Business and Finance category averaged about 31% opens, 2.8% clicks and 0.15% unsubscribes. It has no category for consulting. Use that as a loose reference.

The numbers I trust more: replies, clicks to the booking page, calls booked and the answer to "how did you hear about us?" on the call. They show whether an email led to a conversation. Also ask people what they read or watched before they came. The question works better than any dashboard.

Should a consulting firm use cold email?

It can work. It is the fastest way to start, and a narrow, relevant message can get a reply. But it needs a clean list, a clear offer and someone to do it every week. Gartner found that 73% of B2B buyers actively avoid suppliers who send irrelevant outreach (June 2025 release, 632 buyers). So the bar is relevance.

My own experience is with cold messages in LinkedIn, not email. In August 2026 I tried it for two weeks. I got 8 calls and burned out. Some people like it. If you are not one of them, build the warm channels first: the list, the newsletter, the videos. I compare the channels in how to generate B2B leads.

How does video fit into email?

A long video is the best raw material for email. One 15-minute video gives you the main idea for a newsletter, a story for a welcome email, a quote and the answer to one objection for a sales follow-up. You are not writing from nothing every week.

  • Newsletter: two or three lines on the idea, an image of the video that links to it.
  • Welcome sequence: your three best videos, one per email.
  • Sales follow-up: the video that answers the buyer's main doubt. Your sales team can send the same ten videos again and again. A long video works like a video sales letter: it warms up the lead, builds trust and helps win better deals on better terms.
  • Client email: a short video from you on what changed this quarter.

Most email apps do not play video inside the message, so use a picture that links to the video. For the other places one video can go, see how to repurpose YouTube videos.

Norbert Benedekffy of Alpha Vision, who builds email systems for coaches and founders, moved from text posts on LinkedIn to video in under a month with us. His story is here. He is an email specialist, and he chose video as the front door.

The closest we have to targeted outreach through content is a video podcast we produced for Freshcode, an app development company. Its show "Clojure in product. Would you do it again?" has guests from companies like The New York Times, Metabase and Dentons. A guest who is invited is a warm contact and a natural reason to send a personal email.

Which real videos explain B2B email?

I did not find a good video on email for consulting firms with big views. These are the closest. The Consulting Success video is on topic and small. The others are broader. Views show demand, not how many clients each video brought. YouTube data on 26 October 2026.

How do you start in 30 days?

  1. Week 1. Choose one email service, such as Mailchimp, write the welcome email and add a sign-up line. Ask each new lead if they want your newsletter.
  2. Week 2. Write emails two to five of the welcome sequence from videos you already have.
  3. Week 3. Send the first newsletter note. One idea, one link.
  4. Week 4. Write a follow-up template for sales calls. Check clicks and replies. Then keep the rhythm.

FAQ

What kind of email marketing works for a consulting firm?

Six kinds cover most needs: a welcome sequence for new subscribers, a regular newsletter with one idea, follow-ups after sales calls, emails to current clients, a small amount of targeted outbound and event emails. Send each to the people who fit it, with one clear next step.

How often should a consulting firm send email?

Every one to two weeks is a common rhythm for a newsletter. Pick a pace you can keep for a year. Skipping a month hurts more than sending less often. Sales follow-ups and event emails follow their own timing.

How long should a B2B email be?

Short. A newsletter note of 150 to 250 words with one idea and one link is enough. A follow-up after a call can be four or five lines. If you have more to say, put it in a video or an article and link to it.

What is a good open rate for B2B email?

Open rates are unreliable because Apple Mail Privacy Protection can load the tracking pixel without a person opening the email. Mailchimp's Business and Finance category averaged about 31% opens and 2.8% clicks in its December 2023 data. Watch clicks, replies and booked calls instead.

Is B2B email marketing legal without consent?

It depends on the country. In the US, CAN-SPAM applies to B2B email, with rules on honest headers, a postal address and an opt-out you honour within 10 business days. In the UK, emailing a company address is allowed without consent, but sole traders need consent or the soft opt-in. This is general information, not legal advice.

Should a consulting firm use cold email?

It can work as one channel, and it asks for a clean list, a narrow offer and steady work. Gartner found that 73% of B2B buyers avoid suppliers who send irrelevant outreach, so keep it short and relevant. Email to people who already know you usually does better than email to strangers.

How do I build a B2B email list?

Offer something worth an email address: a short guide, a template, a checklist. Add a sign-up under every video and article, ask people who book a call, and collect addresses at events with permission. Do not buy lists.

What is a good welcome sequence for new subscribers?

Three to five short emails over two weeks: a hello that says what to expect, your most useful idea, a client story, the question buyers ask most and a soft invitation to talk. Each email links to one thing.

Can I put a video in an email?

Most email apps do not play video inside the message. Use an image of the video that links to the video page, and write two or three lines that tell the reader what they will learn.

How does video help email marketing?

A long video gives you the material for months of emails: the main idea, a quote, a story and a link. Emails also bring viewers back to your channel. Evgeny Maximov's agency produces the long videos and clips. It does not run email campaigns.

Does Evgeny Maximov's agency do email marketing for consulting firms?

No. The agency produces YouTube channels for founders and experts with high-ticket services, and the long videos can feed a newsletter or a sales team. It does not manage email campaigns or run paid ads and does not promise views, calls or leads. Its only guarantee is 7 days of money back.
