YouTube Upload Checklist for Business: 25 Steps Before You Hit Publish
Uploading looks like one button. On a business channel it's 25 small decisions, and each one either helps the right buyer find and trust the video, or quietly doesn't. This is the checklist our account managers run on every long video and every Short.
Why does a business channel need an upload checklist?
Because one mistake doesn't stay in one place. We repost every video to several platforms. A typo in the thumbnail or a wrong link in the description goes out six times, and cleaning it up costs far more than a final check. That's why one person on our team owns this list. More about that role in what a YouTube channel manager does.
Before upload: quality control (1–6)
- 1. Watch the final file once, start to finish, on a phone.
- 2. Sound: the voice is clear, music stays under it, no sudden jumps in volume.
- 3. Captions: no typos, readable on a phone, not covering the face.
- 4. The hook works in the first 15–20 seconds.
- 5. No swearing in the first minutes, which can limit the video.
- 6. The thumbnail reads on a small screen and its text doesn't repeat the title word for word.
Upload settings (7–12)
- 7. Audience: not made for kids. No age restriction.
- 8. Paid promotion: checked only if the video is sponsored.
- 9. Altered content: "no", unless the video has realistic AI content. AI used for the script, title, thumbnail or non-realistic graphics doesn't need the label.
- 10. Video language and title language set correctly.
- 11. A category that fits your channel. Its effect on ranking is small, so pick one and stay consistent.
- 12. A collaborator added if you recorded with a guest whose channel should see it.
Title and description (13–17)
- 13. One main phrase per video, checked in YouTube search suggestions.
- 14. The title has the main phrase in the first ~50 characters (up to 100 allowed, 60–70 show on mobile).
- 15. A qualifier for your buyer in the title or on the thumbnail: founders, coaches, B2B.
- 16. The description starts with the call to action or lead magnet, then two strong lines, then a short paragraph about the video. Here's our description template.
- 17. 10–15 tags, quickly. They play a minimal role, so don't spend long on them. No hashtags.
Structure and next steps for the viewer (18–21)
- 18. Chapters on every long video from about 8 minutes: at least three, the first at 00:00, named with search words. More in YouTube chapters.
- 19. The video added to at least one playlist.
- 20. An end screen for the last 5–20 seconds: one next video and a subscribe button. More in YouTube end screens.
- 21. Cards on any video, case or "part 2" you mention.
Publishing and after (22–25)
- 22. Scheduled on your fixed day. The hour matters less than the rhythm.
- 23. A pinned comment: a call to action and a question.
- 24. The link sent to the founder or client: "Your video on [topic] is scheduled for today at [time]. Link: …"
- 25. Clips and posts scheduled on other platforms, and the video added to the website or email if it answers a buyer's question.
What's different for Shorts?
- Links don't click in Shorts descriptions and comments. Use Related video to link the Short to a video on your channel.
- Pick the related video by context. If the Short promises "the full breakdown is in the video", link the long video. If it answers one question, link another Short on the same topic. If it's a sales Short, link a short sales video or a case.
- A short title with the main idea, 1–3 sentences in the description, no hashtags.
- Your main links live in the channel header, because that's where people from Shorts look.
How we cut Shorts from long videos is in how to repurpose YouTube videos.
What should you set up once, not on every upload?
- A separate Google account for the channel, a long password and two-factor authentication.
- Phone verification for advanced features: videos over 15 minutes, custom thumbnails, Related video.
- Upload defaults: the "about" block and links in the description.
- Access for your team by role, never your password: how to add a channel manager.
How do you do most of this list in 15 minutes?
With the video's transcript and an AI chat, most of the writing is now very simple. That's how our account managers do it:
- Get the transcript with timestamps. Your editor can export it, or use any transcription tool. YouTube's auto captions work too.
- Paste it into an AI chat with the prompt below. Add your main phrase, your link and your lead magnet.
- Edit by hand. Check every fact and every chapter time against the video. AI gives a first draft, not the final version.
- Check the main phrase in YouTube search. Start typing it and see if YouTube suggests it.
Here's the prompt we use as a base. Copy it and change the parts in brackets.
Act as a YouTube SEO specialist and producer for a business channel. Below is the transcript of my video with timestamps. About me: [your name, what you sell, who your buyer is, e.g. "founders of B2B service companies"]. Main phrase of the video: [the phrase people search for]. Call link: [your booking link]. Lead magnet: [name and link, or "none"]. Write: 1. Three title options, up to 60 characters each. Use the main phrase or a clear part of it. Add the benefit and some curiosity. No clickbait that the video doesn't deliver. 2. For each title, 2–4 words for the thumbnail. Don't repeat the title. 3. The description: - Line 1: the call to action with my call link. - Line 2: the lead magnet with its link (skip if none). - A paragraph of 80–150 words in first person, in my voice. The main phrase in the first sentence, 2–3 natural variations, who the video is for and what they'll take away. - Chapters: the first one at 00:00, at least 3, each title with a keyword. Use the real timestamps from the transcript. - "Watch next: [placeholder]". 4. 10–15 tags, under 500 characters in total: the main phrase first, then 2–3 variations, then broader topic tags for my buyer, then my name and brand. Only topics that are really in the video. 5. A pinned comment: one call to action and one question for viewers. 6. 3–5 moments for Shorts with start and end times, a short title for each, and which video to link as Related video. Rules: use only facts, numbers and stories from the transcript. Don't invent results. No hashtags. Simple English. If you're not sure about something, mark it with [CHECK]. The prompt doesn't replace the checklist above. It does the writing. The thumbnail, the end screen, the playlist and the final look in Studio are still a person's job.
The full channel setup is in YouTube channel optimization. And if you'd rather never see this list again, our account managers run it on every video as part of channel management.
FAQ
What should I check before uploading a video to YouTube?
Watch the final file once on a phone: sound levels, captions, typos and the thumbnail on a small screen. Then prepare the title, description with a call to action in the first line, chapters, playlist and end screen before you upload.
What upload settings should a business YouTube video use?
Not made for kids, no age restriction, the paid promotion box checked only if it's sponsored, altered content set to "no" unless realistic AI content is used, the right language and category, and scheduled publishing at a fixed time.
Do I need to mark AI in my YouTube video?
Only for realistic synthetic content, like a real person saying something they didn't say or a fake real event. AI used for the script, title, thumbnail, captions or non-realistic graphics doesn't need the label.
How long can a YouTube title and description be?
A title can be up to 100 characters, but about 60–70 show on mobile, so put the main phrase in the first 50. A description can be up to 5,000 characters, and the first 100–150 show before "more".
When should I add chapters to a YouTube video?
On every long video from about 8 minutes. You need at least three timestamps, the first at 00:00, each chapter at least 10 seconds. Name chapters with the words people search, not "Intro" or "Part 2".
What should a YouTube end screen show on a business channel?
One next video, usually the next part of a series or the best video for this viewer, plus a subscribe button, for the last 5–20 seconds.
How do I add links to YouTube Shorts?
Links in Shorts descriptions and comments aren't clickable. Use the Related video feature to link a Short to a video on your channel, and put your main links in the channel header.
What time should a business publish on YouTube?
For most business channels the exact time doesn't matter much, except for news formats. A fixed, predictable schedule matters more than the hour.
Should I use hashtags on business YouTube videos?
Evgeny Maximov's agency doesn't use them on business channels: they don't bring business viewers. If you use them, keep three at most at the end of the description.
What should I do right after publishing a YouTube video?
Send the link to the client or team, pin a comment with a call to action and a question, repost the clips to other platforms and add the video to your website or email if it answers a buyer's question.
