# Marketing Funnel for a Service Business: From Stranger to Booked Call

Most funnel advice is written for online shops and software. A service business with a high price tag has fewer buyers, a longer decision and a call at the end. Here is a funnel built for that: five stages, what content goes in each one, and where it usually leaks.

By **Evgeny Maximov** · 9 min read · 26 Oct 2026

**Key takeaways**

**Short answer:** a marketing funnel for a service business is the path from stranger to client: stranger, aware, considering, booked call, client. Each stage needs its own content and one next step. For high-ticket services the path is long and built on trust, so build the funnel from the bottom: the call, the proof, the page after booking, and only then the content for strangers.

- Five stages, one job per stage, one next step in every piece.
- Most buyers are not buying now, so the top of the funnel is about being remembered.
- A long video works like a video sales letter for your sales team.
- Ask every lead how they heard about you. Software misses most of the path.

## What is a marketing funnel for a service business?

It is a map of how a stranger becomes a client. You draw it as a funnel because many people see you at the start and few sign at the end.

A funnel for a service business is different from the funnels you see in most guides. A shop sells a $50 product to thousands of people. You sell a $5,000 or $50,000 service to a few. The buyer is not buying a product, they are choosing a person. That decision takes weeks or months, and the last step is a conversation, not a checkout button.

There is another reason the content matters so much. A 2025 survey by Gartner found that [61% of B2B buyers prefer a rep-free buying experience](https://www.gartner.com/en/newsroom/press-releases/2025-06-25-gartner-sales-survey-finds-61-percent-of-b2b-buyers-prefer-a-rep-free-buying-experience). They want to study on their own and only talk to a seller when they need context. By the time someone books a call with you, most of the decision is already made. What they found on their own decided if they booked at all.

Source: Gartner press release, 25 June 2025, survey of 632 B2B buyers in August and September 2024. The same release says 73% of buyers avoid suppliers who send irrelevant outreach. Gartner's numbers change from year to year, so check the latest release.

## What are the stages of the funnel, and what goes in each one?

I use five stages and match them to the Buyer Ladder from my free course [The Trust Engine](https://evgeny-maximov.notion.site/the-trust-engine-the-business-youtube-course). The ladder describes what the buyer knows. The funnel describes what you do about it.

Strangerdoesn't know you
→
Awareknows the problem
→
Consideringcompares options
→
Booked callchooses who to hire
→
Clienthired you

| Funnel stage | Buyer Ladder stage | What the buyer thinks | Content that fits | One next step |
|---|---|---|---|---|
| **Stranger** | Not looking yet. Has a problem but doesn't see it. | "I don't know I have this problem." | Broad questions, stories, myths of your market, podcasts, talks, Shorts | Watch the next video |
| **Aware** | Knows the problem, not a priority yet. | "I should fix this, but not now." | Mistakes, frameworks, what ignoring it costs | Subscribe, join the email list |
| **Considering** | Looking for a solution. | "What are my options?" | Comparisons, process, price explainers, guides | Download a guide, watch a case |
| **Booked call** | Choosing who to hire. | "Can I trust this person?" | Case studies, "how we work", testimonials, a video sales letter, a page after booking | Show up to the call |
| **Client** | Hired you. | "Did I make the right choice?" | Onboarding, early results, a referral request | Refer, review, renew |

The higher you go, the fewer people watch and the more of them call. One picture shows the shape. It is a shape from Nikolai Velizhanin's method, not data from one channel.

![The buyer ladder: the higher the rung, the fewer the views and the more calls. From entertainment at the bottom to comparison videos at the top](https://evgenymaximov.com/img/fig-buyer-ladder.webp)The higher the rung, the fewer the views and the more calls

The top stages are not wasted. The B2B Institute, a research group backed by LinkedIn, [estimates that only about 5% of B2B buyers are in the market at any moment](https://www.marketingweek.com/peter-weinberg-jon-lombardo-95-5-rule/). The other 95% will buy later. The top of the funnel makes sure they know your name when they do. I wrote about this in [demand generation vs lead generation](https://evgenymaximov.com/blog/demand-generation-vs-lead-generation/).

## How do you build the funnel, from the bottom up?

Most people start at the top and make content for strangers. I do it the other way. The bottom has the fewest people and the most money, and it works with the traffic you already have.

1. **Write the call.** What happens in 30 minutes? Who is it for? What do they leave with? If you can't say it in two sentences, the funnel has no end.
2. **List ten questions buyers ask before they hire you.** From sales calls, emails and objections. Price, time, "why you and not someone cheaper", "what if it fails". These are your bottom and middle videos.
3. **Answer them on camera.** One question, one video. Put the best answers on a page next to the booking link.
4. **Add a page after booking.** It is the cheapest fix in the funnel. See [lead nurturing between the form and the call](https://evgenymaximov.com/blog/lead-nurturing-service-business/).
5. **Add the top.** Wide topics that lead to those answers. Every piece points to one next step.
6. **Count and ask.** Count each step. Ask each lead how they heard about you.

## What does a working funnel look like in real life?

Take Tvoy Sklad, a self-storage franchise we have worked with since 2022. Their funnel is simple. At the top, long videos, podcasts and tours of locations. In the middle, an online tour of the franchise and talks by the founder, who also shows the financial models himself, in videos and live streams. At the bottom, a pitch video with a QR code and a link to a Telegram chat bot in the description. The channel has 700+ videos and about 2,000 subscribers, and most videos get 2,000 to 20,000 views. In 2024 and 2025 the company raised about $5M and signed 20+ franchisees. Partners often come to the first call and say they have "already watched everything". [The full case is here](https://evgenymaximov.com/blog/tvoy-sklad-youtube-case-study/).

A small version: our Thai real estate client got a lead from a dry 20-minute video with about 500 views. It reached the right person at the right stage. Views were low, the match was exact.

My own funnel is the same shape. A video on YouTube, a landing page with a video, then a booking page. On the form we ask "how did you hear about us?" Our [discovery call](https://evgenymaximov.com/blog/discovery-call-questions/) goes from there. If the niche has no demand, I say so, and I don't sell.

One more number from my own channel. A 47-minute documentary got about 6,000 views and brought clients. Another video got about 260,000 views and brought none. Reach is not the funnel. The right people at the right stage are.

## Where do service funnels leak?

| Leak | How you see it | Fix |
|---|---|---|
| **No next step** | Views and subscribers, no calls | One link in the first line of the description, a pinned comment, a mention inside the video. Only 10–20% of viewers watch to the end, so don't wait for the last minute. |
| **Top without a middle** | People watch once and never come back | Videos that answer the next question, and a clear "watch this next". |
| **Hard booking** | Visits to the booking page, few bookings | One page, one button, a short form. Each extra question cuts leads but sharpens who comes. |
| **No-shows** | Calls booked, calls not held | A page and reminders after booking. |
| **Silence after the call** | Good calls, no decision | Follow up within a day with the video that answers their main doubt. |
| **Wrong audience** | Many views, no sales | Topics for the buyer, not for the widest crowd. See [views vs clients](https://evgenymaximov.com/blog/vanity-metrics-views-vs-clients/). |

## How do you count a funnel? A worked example

Start from the end and count backwards. The numbers below are made up to show the method. They are not our data and not a benchmark. Use yours.

| Step | Example number | How you got it |
|---|---|---|
| **New clients wanted per month** | 2 | Your goal |
| **Calls you need to hold** | 8 | If you close 1 call in 4 |
| **Calls you need to book** | 10 | If 8 of every 10 people show up |
| **People who must see the booking page** | Your number | Count it for 8–12 weeks before you guess |

Top-of-funnel conversion rates change too much between niches, so I don't give you a universal figure. Two cheap checks help. Ask every lead "how did you hear about us?" on the form. Then, on the call, ask what they watched first. This catches the path no software sees. Taki Moore, a coach, [told a story](https://www.youtube.com/watch?v=k8sj8shhquQ) about buyers of a business who had each watched at least 47 minutes of the seller's content before they bought. It is one story, not a rule. But it matches what I see: people come after many touches. I explain the tracking in marketing attribution for service businesses and [YouTube ROI tracking](https://evgenymaximov.com/blog/youtube-roi-tracking/).

## How do long videos help your sales team?

A long video can do the work of a first sales call. It explains how you think, shows proof and answers the common objections. Your team sends it before the call, and the buyer arrives warm. The call gets shorter and the deal better, because the buyer already trusts you and the price is not a surprise.

So I treat a video as a sales asset, like a video sales letter. Teach the problem, show the proof, make the next step easy. If you want the format, see [what a VSL is](https://evgenymaximov.com/blog/vsl-funnel/) and [how video shortens the sales cycle](https://evgenymaximov.com/blog/shorten-sales-cycle-video/).

## Which real videos explain funnels for service businesses?

These are four walkthroughs by agency owners, coaches and sales educators. Most of them sell courses or software, and their funnels often rely on paid traffic. The ideas carry over to a funnel built on organic video, and the traffic source is the main difference. Views show demand, not how many clients each video brought. YouTube data on 26 October 2026.

I did not find a video of a lawyer, consultant or clinic that explains a full organic funnel from end to end.

## What does a 90-day funnel build look like?

| Days | Build | Done when |
|---|---|---|
| **1–30: the bottom** | The call described, a booking page, a page after booking, 3 videos that answer the top objections | A stranger can find a clear path to a call and a reason to trust you |
| **31–60: the middle** | 5–7 videos for people who compare options. A guide with no opt-in or one email form. A booking form with "how did you hear about us?" | Every video has one next step |
| **61–90: the top and the numbers** | Wide topics, Shorts and clips from the long videos. Count every step. | You know your biggest leak |

This is a start, not a finish. Many funnels need a year before you can read them well.

If you want the top and the middle built and published without taking your calendar, that's what [our done-for-you YouTube service](https://evgenymaximov.com/services/b2b-youtube-agency/) does, from $3,000 a month. We don't run paid ads and we don't promise views, calls or leads. Only a 7-day money back guarantee.

## FAQ

**What is a marketing funnel for a service business?**

It is the path a stranger takes to become a client: stranger, aware, considering, booked call, client. Each stage has its own content and one next step. For high-ticket services the path is long and built on trust, so most of the funnel is content that answers buyer questions before anyone speaks to you.

**What are the stages of a marketing funnel for a service business?**

Five stages work well: stranger (does not know you), aware (knows the problem), considering (comparing options), booked call (choosing who to hire) and client (hired). Stages one and two get the largest audience and the weakest intent. Stages four and five get the smallest audience and almost all of the revenue.

**How is a service funnel different from an e-commerce funnel?**

A shop funnel can run in minutes and mostly on numbers. A service funnel for expensive work runs for weeks or months, depends on whether the buyer trusts one person, and ends in a conversation, not a checkout. There are fewer buyers, bigger deals and more things that can go wrong between the first video and the signed contract.

**What content goes at the top of the funnel?**

Content for people who are not looking yet: broad questions, stories, myths in your market, podcasts and talks. Its job is to be remembered. The B2B Institute estimates that only about 5% of B2B buyers are in the market at any time, so most of your audience will not buy this quarter, and that is normal.

**What content goes at the bottom of the funnel?**

Proof and process: client case studies, a video that shows how you work, price explainers, honest answers to the objections your sales team hears. A long video that does this job works like a video sales letter for your sales team, which people watch before or after the call.

**Do I need a landing page and a video sales letter?**

You need one page that explains the offer and gives a clear way to book a call. A video on it helps because the buyer sees and hears the person they would hire. Evgeny Maximov's own path is a YouTube video, a landing page with a video, and a booking page.

**What should happen right after someone books a call?**

The person should get more than a calendar email. Send them to a short page with one video that explains how the call works and who you are, plus a reminder the day before. This is the part of the funnel most service businesses skip. See the article on lead nurturing for the full sequence.

**How do I find where my funnel leaks?**

Count each step for two or three months: people who watched, people who clicked to book, calls booked, calls held, proposals, clients. The step with the sharpest drop is the leak. Also ask every lead how they heard about you, because software misses podcasts, word of mouth and videos watched weeks earlier.

**How long does a funnel take to bring clients?**

Usually months, not weeks. A content funnel needs a library of videos before the pieces start to support each other. Plan for a year before you judge it, and fix the bottom of the funnel first because it works with the traffic you already have.

**Can video be the centre of a funnel for professional services?**

Yes. Video shows the expert, the way of thinking and the proof in one place, and a buyer can watch it before they ever talk to you. Tvoy Sklad, a self-storage franchise that Evgeny Maximov's agency works with, raised about $5M in two years with a channel of about 2,000 subscribers. Results vary by offer and market.

**How is a marketing funnel different from a sales funnel?**

A marketing funnel covers everything before a person talks to you: awareness, interest, trust and the booking. A sales funnel starts at the conversation: discovery, proposal, decision. For a service business the two overlap, because the content a buyer watches decides how the sales call starts.

**Does Evgeny Maximov's agency build funnels?**

The agency produces YouTube channels for founders and experts with high-ticket services: strategy, filming, editing and publishing. Every video is planned with one next step. It does not run paid ads and does not promise views, calls or leads. Its only guarantee is 7 days of money back.
